Confidentiality PolicyWild Monkeys Childcare holds various kinds of information about staff, children, and families. This information is held and handled in accordance with the Data Protection Act 2018 and the General Data Protection Regulation (GDPR).
Information about children, families, and staff is treated as confidential. It will not be discussed without the individual’s consent, unless we have reason to believe that discussing or sharing the information is necessary in order to protect children or otherwise fulfil our legal obligations. Information we hold about children and families may include, but is not limited to: ● Name, DOB, address, parental and emergency contact details.

This information may be held digitally or physically. Digital information is password-protected and can only be accessed by the owner, administrative staff (for purposes relating to their work), or a nominated member of staff. Physical information is stored in a locked filing cabinet, and can only be accessed by the individuals above. Information which is no longer required will be securely destroyed either by shredding (for physical information) or by electronic deletion (for electronic information). We will request permission from families regarding the storage and usage of certain information, such as photos. However, some information is essential for us to have so that we can care for your child. If you are unable to provide this information, we may not be able to offer your child a place. Famly At Wild Monkeys Childcare, we use the Famly online learning journal to record children’s development. Staff and families can access children’s observations from any device via a personal, password-protected login. Staff are permitted to view, add or edit observations and photos, comment on observations, and input EYFS development information. Families are permitted to view and add observations and photos and comment on observations, but not to edit existing observations. We will only use photos of children on Famly where we have the necessary permissions for this. We will also require separate permissions to include children in group observations. Families are only able to view their own child’s learning journal on Famly. Group observations of multiple children can be viewed by the families of all children included in the observation, but the names of other children will not be visible. Famly holds all data in accordance with their own policies, available on the Famly website. Information Sharing Where we are legally required to share information with other organisations, we will do so. This may include, but is not limited to, law enforcement; Ofsted; the local authority; and other organisations. We will do our best to seek consent prior to sharing this information, but if we believe that seeking consent would endanger an investigation or put a child at risk, we will share information in accordance with our legal responsibilities. Information which is not sensitive may be shared with other organisations where we have permission to do so. This may include sharing information with schools, other settings (for example, if a child were to attend another setting, either at the same time or after leaving us), and for staff courses or setting-based awards. When sharing such information, we will do our best to remove any identifying information if this does not affect the purpose of sharing the information.
